Audit AI Subscriptions Before Renewal
List product, owner, renewal date, currency and current plan. Include app-store and team purchases. Use actual invoices rather than advertised prices, and distinguish unused free accounts from recurring paid commitments.
An original ToolNav workflow. Examples are illustrative planning scenarios.
Inventory
List product, owner, renewal date, currency and current plan. Include app-store and team purchases. Use actual invoices rather than advertised prices, and distinguish unused free accounts from recurring paid commitments.
Map real tasks
Name the recurring task and kept output for every tool: approved captions, design drafts or reviewed code. If no completed task exists in the last billing period, investigate the subscription before renewal.
Count accepted outputs
Count usable results, not attempts. In a hypothetical month with 100 generated images and five accepted images, the useful output count is five. Record repair time separately to expose hidden workflow costs.
Identify overlap
Test the same representative task in overlapping tools. Preserve differences in export, integration and review time. Feature checklists alone do not show migration costs or whether an established team workflow will survive a change.
Check billing terms
Read current cancellation rules, annual commitments and usage charges. Stopping use does not necessarily cancel billing. Set a decision date before renewal and verify asset export access before removing a critical subscription.
Make a decision
Label each tool keep, downgrade, pause or cancel with a factual reason and review date. Try a smaller setup on one low-risk task first. Use the assistant selection guide to avoid buying another overlapping subscription.
Acceptance checklist
Before approval, check the intended audience, factual claims, permissions, final output and destination. Assign a reviewer and log unresolved questions. Review the exact file or page that users receive rather than only a preview. Keep assumptions separate from observed results so a later review can understand the limits.
Version and follow-up
Save the brief, approved output and review notes under a clear version. Keep rejected drafts separate. When requirements change, update the source and repeat affected checks. Browse ToolNav around a real task and compare current provider terms before adopting a new tool; feature names alone do not establish workflow fit.
